Prepare Client Clarification Emails and Handle Replies in Workspace

Draft client clarification questions from Project evidence in Clanker Workspace, review an explicit outbound message, and define how the linked Agent handles replies.

Delivery can stop because a few facts are missing: which version is approved, who reviews the designs, or when the client can supply an asset. The account manager needs a short email that asks the right questions without reopening decisions already made.

Clanker Cloud Workspace can use the client Project to prepare that message. Where managed Clanker email sending is available, you can choose a linked mailbox, explicitly request delivery after review, and define what its hosted Agent should do with subsequent replies.

Build the questions from current evidence

Add the approved brief, latest client response, and missing-input checklist to the Project. Identify which files are current. Ask the Agent to distinguish unanswered questions from details already confirmed.

Use a fictional launch packet:

Page copy approved on 13 October.
Three designs await client review.
Required product photos: front, side, and detail views.
Photos have not been received.
The client's review owner is unconfirmed.
Launch timing is still pending those inputs and approval.

The message should request the three photos and confirm the review owner. It should not ask the client to approve the copy again, promise a launch date, or imply that missing photos were already supplied.

Draft the message before asking for delivery

Start with a test inbox you control. Supply its exact address yourself; the Agent should ask when the intended recipient is missing.

Draft a clarification email to the test recipient I provide.
Subject: Inputs needed for the launch review.
Use the current brief and missing-input checklist.
Ask for the three named product photos and the review owner.
Keep the launch date unconfirmed.
Show the draft for review and save clarification-draft.md.
Do not send it yet. Ask me if the recipient is missing.

Read the saved draft against the source packet. Check the recipient, requested assets, tone, and facts. Keep internal notes about the client out of the client-facing message.

If a request includes several unrelated decisions, split or shorten the draft so the recipient can answer it. A reusable Client Follow-up Agent can carry your style and checklist while the Project holds each client's facts.

Choose the sending identity deliberately

Set up an eligible managed Clanker address and link a hosted Agent. Only active addresses linked to an Agent are selectable as Clanker email accounts in the Session composer. Review the assigned Project because the follow-up Agent uses that context, or General when no Project is assigned.

Selecting the mailbox chooses the sending identity; it is not itself a delivery instruction. When the draft is approved, give an explicit sending request identifying the recipient, subject, reviewed message, and selected account. Use the approval mode appropriate to the task and inspect any action request. AUTO approves enabled actions, so it does not guarantee another pause before sending.

The outbound email guide explains eligibility and the dedicated conversation Session. A personal mailbox connection through Channels is a separate setup.

Tell the reply Agent what to record

For the fictional photo request, include follow-up instructions such as:

Handle replies about the requested photos and review owner.
Record what the sender confirms and what remains missing.
Use the Project brief for factual clarification.
Do not accept new deliverables or promise a launch date.
Flag decisions outside this role for the account owner.
Keep unrelated Project facts out of replies.

The correspondent's response supplies new task information. It does not give the Agent authority to change the owner's instructions or use another client's files.

Verify delivery and a reply before repeating the workflow

Check the conversation history and receipt in the test inbox. Reply from that inbox with an incomplete answer, such as confirming the front photo while leaving the other two unresolved. Inspect whether the Agent preserves those gaps instead of declaring the whole request complete.

If delivery is uncertain, inspect the existing conversation and destination before asking for another send. A timeout does not establish that no message was sent.

Opening the email Session preserves its email replies. Posting your first Workspace message permanently converts it to a regular Session and stops email replies. Choose that takeover deliberately when the account owner needs to continue in Workspace.

Use the confirmed answers as dated Project evidence for meeting preparation or the onboarding checklist. Start through email Agent workflows and test this process with fictional inputs before relying on a client conversation.
