Supplier onboarding stalls when a folder of documents is treated as a completed checklist. A file may be present but out of date, belong to a different entity, or leave a required field unanswered.
Clanker Cloud Workspace can help organize the supplied material against your existing checklist. Ask an Agent for an evidence register, a missing-items list, and a handoff for the owner. Presence of a document should remain separate from its verification and approval.
Supply the checklist your team actually uses
Add the current checklist, relevant supplier documents, and internal ownership notes to a Project. Include document dates and the supplier identity you expect to match. Use a sanitized packet for the first trial.
Avoid uploading credentials or unnecessary sensitive records. Where an item belongs in a restricted business system, a status note or approved reference may be more appropriate than a copy of the underlying record.
Distinguish received, checked, and approved
Consider this fictional packet:
Checklist requires a supplier contact, service description,
and confirmation of the internal review owner.
Contact sheet: received, dated 10 October.
Service description: received, references an older legal name.
Internal review owner: absent.
No final approval is recorded.
The pack should show received contact information, a service-description identity question, and an unassigned review owner. It should not mark onboarding complete.
Ask for a register with evidence locations
Map this fictional supplier packet to our supplied checklist.
Save onboarding-register.csv and missing-items.md.
For each item include required evidence, supplied file,
document date, received status, verification status,
approval status, owner if stated, and next question.
Flag the older entity name. Do not authenticate documents,
infer approval, change supplier records, or contact anyone.
A useful register lets the next owner open the exact file behind a status. Keep “not supplied” distinct from “reviewed and rejected.” Both can block progress, but they require different follow-up.
Review identity and completeness
Open the saved table in Preview. Check the source for every completed status and any claimed approval. Confirm the entity name against the agreed reference and route discrepancies to the responsible owner.
This preparation does not verify document authenticity or establish that a supplier meets legal, security, or financial requirements. Use the required specialist review under your organization’s process.
Keep the handoff current
When new evidence arrives, add the dated source and ask for a revised register with a change note. Retain earlier versions when needed to understand the review history.
After one checked run, reuse the structure through Project instructions or a custom Agent. Supplier records remain in their agreed system of record unless you deliberately configure and authorize a supported connection.
Common questions
Does a complete folder mean the supplier is approved?
No. Received documents, verification, and approval are distinct states. Require evidence for each status your process uses.
Can the Agent create our onboarding policy?
It can help draft a proposed checklist for review. For an actual onboarding decision, supply the requirements approved by your organization and keep specialist decisions with their owners.
