A purchase request often arrives as a short message and an attachment. The approver needs more: what is being bought, whether the quote matches the request, which facts are missing, and who can approve the spend.
Clanker Cloud Workspace can help prepare that review from supplied documents. Keep the request, current quote, and your internal checklist in a Project. Ask an Agent for an evidence table and unresolved questions. The authorized approver makes the purchase decision.
Start with the request and the actual quote
Supply the quote version and date. Add the delivery location, requested quantity, and internal requirements where known. Use your organization’s own approval rules rather than asking the Agent to invent a procurement policy.
For this fictional example:
Request: 12 desk chairs for the new office.
Quote: 12 chairs, freight excluded, valid until 30 October.
Internal checklist: delivery cost and assembly must be stated.
Assembly: not mentioned in the quote.
Approval owner: not provided in this packet.
The useful result is a short review that preserves freight, assembly, and approval ownership as open questions. It should not describe the quoted amount as the complete delivered cost.
Ask for a review pack
Use a Session in the Project:
Compare this fictional purchase request and quote against
the supplied internal checklist.
Save purchase-review.md and purchase-evidence.csv.
Include requested item, quoted item, quantity, source location,
stated exclusions, missing facts, and reviewer question.
Mark freight, assembly, and approval ownership unresolved.
Do not estimate missing charges, approve spend, place an order,
or contact the supplier.
Keep the evidence table small enough to inspect. A line that says “delivery included” needs a source, even when that arrangement would be common for a similar purchase.
Check the decision-critical rows
Open both saved files in Preview. Confirm the quantity and quote date against the original. Check whether exclusions survived the summary and whether any missing cost became zero.
Separate a quoted fact, an internal requirement, and a proposed question. They have different owners. If the quote is replaced, add the new dated source and ask for a revised review showing what changed.
The vendor comparison starter is useful when the next step involves several alternatives. Apply the same criteria to each quote and keep unsupported rows visible.
Keep the approval and ordering steps explicit
This workflow uses supplied files. It does not establish an integration with your purchasing system or prove that the supplier record is current. Check any later connection and its permissions separately.
Keep the reviewed output with its source packet. If these requests recur, save the method in Project instructions or a custom Agent. Test another fictional request with a missing quantity before using the same process more broadly.
Common questions
Can the Agent approve a purchase for me?
The example prepares a review pack and excludes approval and ordering. Use your existing approval process and authorized decision maker.
Can I compare quotes with different exclusions?
Yes. Ask for an exclusions column and unresolved questions. Do not present incomparable quoted totals as equivalent delivered prices.
