Prepare Invoice Follow-Ups from a Business Export with AI

Review invoice balances and due dates in Clanker Workspace. Build a checked follow-up list and reminder drafts from an accounting snapshot without changing the ledger.

Invoice administration often starts with a simple question: which open invoices need attention today? The answer depends on the current balance, due date, and any payment or dispute that changed the record.

Use Clanker Workspace to prepare a follow-up list and draft reminders from a dated accounting snapshot. The useful output is a file your billing owner can verify against the ledger before contacting customers.

Define the balance field before adding totals

Bring a report with invoice ID, customer, currency, original amount, remaining balance, and due date. Include dispute status and recent payment information when these affect follow-up. Preserve those fields' meanings when preparing a simpler CSV.

Xero documents invoice exports in CSV. Its invoice field documentation distinguishes the amount remaining from payments and credits. Check whether your chosen export or report contains the remaining balance you need; do not assume every export has the same columns.

If a field already represents the remaining balance, subtracting payments again would understate it. If that balance is unavailable, ask the billing owner for a suitable report. Keep different currencies separate and retain the original source.

Try a small invoice snapshot

This fictional example uses USD balances as of 13 October 2026. Its simplified columns are a prepared example, not a vendor's export format:

invoice_id,customer,currency,original_amount,balance_due,due_date
INV101,Northline,USD,1200,1000,2026-10-10
INV102,Harbor,USD,900,0,2026-10-09
INV103,Juniper,USD,600,600,2026-10-20
INV104,Westfield,USD,500,400,

For this trial, define overdue as a positive remaining balance with a due date earlier than the review date. A missing due date belongs in a clarification queue.

Prepare invoice-follow-up-review.md from this fictional snapshot as of 13 October 2026. Use balance_due as the remaining amount. Show open balances by currency, dated overdue balances, paid records, future-due records, and missing-date issues. Preserve invoice IDs. Draft a neutral reminder only for a record with a known past due date, subject to billing-owner review. Do not send email, add fees, predict payment, or change accounting records.

Check the arithmetic and the queue

The expected results are concrete:

Check Expected result
Positive remaining balances USD 2,000 across three records.
Dated overdue balance INV101, USD 1,000.
No remaining balance INV102; exclude from payment reminders.
Future due date INV103; retain the 20 October date.
Missing due date INV104, USD 400; request clarification.

Open the saved result and compare each classification with the source. INV104 contributes to the open balance but cannot be classified as dated overdue. The total is a snapshot of recorded balances, not a forecast of money arriving.

Review the reminder against the latest ledger

Before using a draft, check whether payment, credit, or a dispute has appeared since the export. Confirm the recipient, invoice reference, balance, and any approved payment instructions. Use a neutral question about the invoice's status when that fits the evidence.

The managed email conversation guide covers explicit outbound requests where the feature is available. Keep a prepared reminder separate from the decision to send it.

For repeat reviews, preserve the method in an Agent and supply a fresh accounting snapshot each time. Date the output and record unresolved entries. This makes the task easier to hand over without implying that Workspace is maintaining or reconciling your accounting ledger.
