Prepare a Client Renewal Review with AI in Workspace

Bring delivery evidence, customer feedback, and open requests into a Workspace renewal brief. Prepare a useful account conversation without inventing satisfaction or results.

A renewal conversation needs a clear account of the work delivered and the questions still open. A list of completed tasks alone may miss a training session that never happened, a customer request outside the current scope, or a claim that lacks supporting evidence.

Clanker Workspace can help prepare an internal review from the agreement, delivery files, feedback, and account notes. Keep the material in the client's Project and ask for a brief the account owner can check before the conversation.

Bring commitments and evidence together

Identify the current agreement or approved scope. Add the reports and other deliverables that support your account of completed work. Keep customer comments with their dates and sources.

Record stated renewal dates and any relevant notice dates exactly as supplied, with their source. The owner should confirm the applicable terms before taking an action based on them. The preparation task should organize the facts and questions rather than decide contractual obligations.

For feedback spread across messages, the customer feedback walkthrough helps preserve evidence and distinguish repeated messages from separate customer accounts.

Try a fictional delivery review

Suppose a fictional account packet contains:

Current service scope includes a monthly report and one training session.
The September report was saved and sent on 30 September.
The training invitation exists, but attendance or completion is unrecorded.
A support response target is stated; actual response logs are missing.
The client requested a new data export outside the agreed scope.
The account note records 2 November as the renewal date.
No customer satisfaction assessment is included.

Ask:

Prepare renewal-review.md from this fictional packet. Map each commitment to delivery evidence, preserve missing evidence, and list open client requests separately from agreed scope. Include the stated renewal date with its source and questions for the account owner. Draft a discussion agenda. Do not infer satisfaction, predict renewal, promise new terms, or send messages.

The useful output is an internal preparation file: evidence, gaps, and a short agenda grounded in the account's actual record.

Check what the evidence establishes

The expected treatment of the example is:

Topic Supported finding
September report File and sending record support delivery; customer acceptance is not established.
Training Invitation exists; completion needs evidence.
Support target Target is stated, but performance cannot be checked without logs.
New data export Open request outside the recorded scope.
Satisfaction No assessment supplied; do not describe the client as satisfied.

Open the saved brief and follow its source references. “Delivered” and “accepted” can describe different events. An invitation is also different from a completed session. Those distinctions help the owner know what to verify before the renewal meeting.

Inspect the agenda next. It can ask about the client's priorities, unresolved training, and the requested export. It should not contain a discount, delivery promise, or claim of measured success that the packet never supplied.

Keep the next decision with its source

After the conversation, add the dated notes and any confirmed decisions to the Project. Ask for an updated brief distinguishing the prior review from new evidence. Keep a request awaiting approval visible until the responsible people decide it.

Use Project instructions for the review method and current files for account facts. A repeatable Agent can apply the same evidence checklist to another account without importing the first client's terms.

If the next step is a reviewed follow-up message, the outbound email article explains the explicit request and available managed mailbox path. The renewal brief prepares that conversation; the account owner chooses the commitments it contains.
