AI Assistant for Office Work: What to Give It First

Put an AI office assistant to work on meeting notes, documents, spreadsheets, research, and project updates with clear inputs and useful outputs.

An AI assistant for office work can help turn the material on your desk into something another person can use: a meeting follow-up, a checked spreadsheet, a research brief, or a project update. The useful starting point is a deliverable you already know how to judge.

Consider a normal Thursday. You have notes from a client call, an old proposal, a spreadsheet with current tasks, and a manager asking what is ready. The difficulty is bringing those pieces together without losing a decision or repeating an outdated promise.

In Clanker Cloud Workspace, a Project holds the related files and instructions. A Session is where you ask for work and inspect the result. An Agent supplies the instructions and selected tools for the task. That gives the assistant somewhere to work and gives you somewhere to find the output tomorrow.

Choose the output before the assistant

“Help with admin” leaves almost every important choice open. “Prepare a one-page update from these three files” establishes a much better first task.

Office task Material to provide Result to request
Meeting follow-up Notes and participant names Decisions, actions, owners, and unresolved questions
Document preparation Brief, approved facts, example document A draft using the required structure
Spreadsheet work Source file and column definitions A cleaned copy and an explanation of changes
Research Question, criteria, dated sources A comparison with evidence and gaps
Project coordination Current brief and recent updates Progress, blockers, and next decisions

Pick the row that interrupts your day most often. There is no need to connect every system before testing whether the result is useful.

Give the work a Project

Create a Project for the relevant client or internal initiative. Add the current files and a short instruction explaining the audience, the desired format, and which source takes priority when facts disagree.

For a fictional website launch, the approved brief might define scope while yesterday's meeting notes contain new requests. Tell the assistant to distinguish those requests from agreed commitments. A sentence such as “Treat new requests as proposals until I confirm them” can prevent a polished draft from silently expanding the project.

The project organization guide explains how to keep versions and source notes clear. A reusable Agent can hold the reporting method; the Project should hold this client's changing facts.

Try a task you can check in a few minutes

Here is a practical first prompt:

Use the launch brief and these meeting notes to prepare a one-page internal update. Separate completed work, open decisions, blockers, and next actions. Give each action an owner only when the source names one. Link each important claim to its source file. Flag contradictions. Save a draft for my review.

Open the result and check three things: whether the assistant used the current material, whether anything important disappeared, and whether it added facts the sources did not contain. A tidy document is only useful if its contents are right.

If meeting follow-up is your first job, use the meeting action tracker template. It supplies fictional notes and an example to compare against.

Build a specialist when the method repeats

After a few successful tasks, move your preferred structure and review checklist into a custom AI agent. Keep the instructions specific enough that you can recognize a good result. Add tools when a task needs them, and check the chosen approval settings before allowing changes to connected services.

Ordinary Workspace tasks start in the browser. Working inside an app on your own computer requires a separate approved computer connection; uploading a spreadsheet does not grant access to the rest of your desktop.

An assistant becomes valuable through a sequence of completed jobs. Start with one unfinished piece of office work, keep the result, and use what you learned to make the next request easier.
