A discovery call usually produces more possibilities than a first engagement can contain. The prospect wants a better website, clearer messaging, and perhaps a campaign to go with it. Your agency needs a proposal that explains the first useful piece of work, the inputs it depends on, and the decisions still needed.
Clanker Cloud Workspace can help turn those notes into a proposal draft. Keep the prospect's material in a Project, add your approved service descriptions and pricing inputs, and ask an Agent to preserve the difference between interest and agreed scope.
Build a proposal packet you can trust
For a fictional agency, use three sources: discovery-notes.md, service-menu.md, and proposal-rules.md. Identify which service menu is current. Include approved prices only when you want the Agent to use them; a past proposal is a format example, not authority to offer its price again.
In Project instructions, explain the audience and tone. Give the Agent the task of drafting the proposal and an internal assumptions list. Keep final commercial approval with the engagement owner.
These fictional discovery notes give the task a useful test:
Prospect: Willow Studio, fictional business.
Goal: explain a new service clearly on the website.
Requested: one service page and a launch email.
Current service menu includes page copy and two review rounds.
Launch email is a separate service; price not supplied.
Client will provide product details and approved examples.
They hope to publish in November; no date is agreed.
No advertising management was discussed.
The missing email price should remain missing. An attractive bundle is still a proposal to approve, not a fact for the Agent to manufacture.
Draft the offer around deliverables
Start a Session in the prospect Project and use this prompt:
Prepare proposal-draft.md from the discovery notes and
current service menu. Include the goal, proposed deliverables,
inputs required, review rounds, and next decisions.
Use only the supplied prices. Mark missing prices as pending.
Keep the proposed launch window separate from an agreed date.
Save proposal-assumptions.md with source references,
unresolved scope, missing information, and owner decisions.
Do not invent testimonials, guarantees, prices, or commitments.
Do not send the proposal or change any client system.
The two files serve different readers. The prospect needs a clear offer; your colleague needs the evidence behind it. Open each file in Workspace Preview and review the actual saved version.
Check the proposal against the call
For Willow Studio, the page-copy description can use the service menu's two review rounds. The launch email needs a separate pricing decision. November is a desired window requiring confirmation. Advertising management should not appear as an included service.
Check dependencies as closely as deliverables. If the client must supply product facts before drafting starts, the proposal should say that. If a draft section contains “we will deliver on 1 November,” trace that date to a source; remove it when no source supports it.
A useful internal review asks whether every included service was requested or intentionally proposed, whether each price has an approved input, and whether the client can understand the next step. Review final terms through your normal business process before sending.
Reuse the format without reusing the facts
Save the agency's structure as reusable instructions or a Skill. A custom Proposal Agent can follow the same method on another prospect's packet. Keep each prospect's facts, draft, and decisions in the appropriate Project and check the selected context before running it.
When the owner changes the offer, add a dated decision note and ask for a revised draft showing the changes. Preserve the earlier version so the team can see what was proposed at each stage. A saved example does not silently become the current proposal.
Use the proposal-review Agent walkthrough for a second pass. Once the engagement is approved, move into the consultancy onboarding process with the approved scope clearly identified.
Start with business Workspace and one discovery packet. Compare drafting time, review time, and corrections across a few proposals before expanding the role. The useful outcome is an offer your agency can explain and approve confidently.
